IQA-UK MEMBERSHIP POLICY (and Member Terms & Conditions)
IQA-UK Membership Policy: Promoting Excellence in Education and Quality Standards 1. Introduction IQA-UK is a professional membership organisation dedicated to advancing the standards of education and training through robust Internal Quality Assurance (IQA) practices. Our members play a crucial role in ensuring the quality and integrity of educational programs across the UK. This policy outlines the membership rules and guidelines to ensure a thriving, professional community committed to excellence. 2. Membership Categories To keep things simple, IQA-UK offers just one Membership category for individuals: INDIVIDUAL MEMBERSHIP : £70.00 per annum MIQA: Membership is open to anyone with a recognised IQA qualification, whether recently attained (or working towards) as well as those historically gained (e.g. D34, or for instance the L4 IQA Award in Understanding the Internal Quality Assurance of Assessment Processes and Practice, or similar). Note: A monthly subscription may also become available to accommodate Members who prefer this Option. 3. Membership Requirements To maintain high standards within the organisation, all members must meet the following criteria: Qualifications: Members must hold relevant qualifications in education, training, or quality assurance. Experience: Members should possess a minimum of 6 months’ experience as a qualified IQA in a practical work-based role within their sector. Commitment to CPD: Members must engage in continuous professional development (CPD) to stay current with the latest practices and developments in IQA. Adherence to Code of Conduct: Members must adhere to IQA-UK’s Code of Conduct, which promotes ethical behaviour, professionalism, and a commitment to quality in education. 4. Membership Benefits IQA-UK members enjoy a range of benefits designed to support their professional development and career progression: Access to Professional Development: Including workshops, webinars, certification programs, and exclusive resources tailored to IQA professionals. Networking Opportunities: Invitations to events, conferences, and forums where members can connect with peers and industry leaders. Career Support: Job boards, career counselling, and mentoring programs to assist members in achieving their career goals. Recognition and Awards: Eligibility for IQA-UK awards, recognitions, and the opportunity to become a Fellow of the organisation. 5. Membership Responsibilities To maintain the integrity and quality of the organisation, members are expected to: Uphold Professional Standards: Maintain the highest standards in their IQA practices, contributing positively to the educational institutions they serve. Engage in Continuous Learning: Actively pursue CPD opportunities to stay informed about the latest developments in IQA. Contribute to the Community: Share knowledge, experiences, and best practices with fellow members to foster a collaborative and supportive community. Promote IQA-UK Values: Act as ambassadors for IQA-UK, promoting the organisation’s mission of excellence in education and quality assurance. 6. Membership Application and Renewal - Application Process: Prospective members must complete an application form, confirming in good faith (and/or providing evidence, if requested) of qualifications and experience in IQA practice, and shall agree to abide by the IQA-UK Code of Conduct. - Review and Approval: Individual Membership Applications are automatically accepted unless in case of query in which case these shall be reviewed by the IQA-UK Membership Committee to resolve any issues or misunderstanding. - Renewal: All Memberships are subject to annual renewal. Members must demonstrate ongoing engagement in CPD and adherence to the organisation’s standards and Code of Conduct. - Cancellation of Membership: Any Individual can cancel their membership at any time via the payment provider originally used. Alternatively, make contact with us at: info@iqa-uk.co.uk to request Membership cancellation. No refund of dues is made if Membership is cancelled before expiration of the annual renewal date and Membership will continue until the end of that period when the cancellation becomes effective. Please note: the exception to the above is a refund of the annual membership for withdrawal of membership for any reason within 14 days of first application, only. To withdraw Membership application, please notify us in writing within 14 days of the date of enrolment online, and we will refund the Application Fee to you directly. 7. Code of Conduct Members are required to adhere to IQA-UK’s Code of Conduct, which includes the following key principles: - Integrity: Acting with honesty and integrity in all professional activities. - Accountability: Taking responsibility for the quality and outcomes of their work. - Respect: Treating colleagues, students, and stakeholders with respect and fairness. - Confidentiality: Maintaining the confidentiality of sensitive information related to educational institutions and their work. - Commitment to Excellence: Continuously striving to improve the quality of education and training through diligent and effective IQA practices. 8. Disciplinary Procedures IQA-UK reserves the right to take disciplinary action against members who violate the organisation’s rules, standards, or Code of Conduct. This includes any bullying, harassment or other untoward behaviour or discrimination towards a fellow member on the IQA-UK forum. Bad behaviour is not acceptable. Disciplinary actions may include: - Warnings: For minor breaches, a formal warning may be issued. - Suspension: For serious breaches or repeated offenses, membership may be temporarily suspended. - Termination: In cases of severe misconduct, membership may be permanently terminated. No dues shall be refunded in the case of termination due to breach of conduct. 9. Membership opportunities Members are invited and actively encouraged to become as involved in the community as they wish. There is no obligation to do so (as some members will wish to remain “quiet partners” and watch from a distance – that is perfect for many of the Membership!) Others – who prefer to become more involved – are most welcome to get in touch and volunteer their services for event handling, hosting online meetings, discussions etc It is a requirement that any Member who initiates such opportunities, will just pop an email over to the membership committee first to ensure that the proposed activity is in keeping with the ethos of the IQA-UK. A volunteer host for online networking or similar will be rewarded with a reduction or waiver of Membership fees for the following year. Anyone consistently creating added value to the community will be entitled “IQA-UK Membership Co-ordinator” – benefitting from FREE ANNUAL MEMBERSHIP and this is ALSO a great addition to their CV for future reference! IQA-UK is committed to fostering a professional community that promotes excellence in education through effective internal quality assurance practices. Privacy Policy
When you share information with us, either by joining as a member of IQA-UK or through setting up a user account on our web site, this information is used solely to enable us to provide the services to which members or non-members have actively subscribed to. As you use our services, we want you to be clear how we’re using information and the ways in which you can protect your privacy. Our Privacy Policy explains: • What information we collect and why we collect it • How we use that information • The choices we offer, including how to access and update information We’ve tried to keep it as simple as possible, but if you’re not familiar with terms, such as cookies, IP addresses or browsers, then read about these key terms first (there is a simple glossary of terms at the end of this document). Your privacy matters to IQA-UK UK, so whether you are a member or a non-member who has registered to book onto an event, please do take the time to get to know our practices – and if you have any questions, please contact us at: info@iqa-uk.co.uk Information we collect and how we use it We collect information to enable us either to provide membership service to our members or to enable non-members to book events that IQA-UK UK are offering via its web site. In either case we do not share any information with third parties and information is stored on systems that are within our full control. The information we ask new and existing members to provide is collected and categorised as: About me – this is personal information about you as follows: First and Last name Email address This information is collected to enable us to contact you as a member about membership matters – such as renewals or membership events, as we are a membership organisation. This information is essential in order that we are able to properly identify our members. My membership – records details of any payments related to your membership account (new and renewals). Automatic renewal and automatic payment options – records any payment information you have provided to facilitate membership renewal via direct debit. This information only applies to members who wish to pay by direct debit. Your payment details can be edited by you. This information is securely shared with our payments processor when your membership is automatically renewed. My profile – should you wish, you can create a profile of your experience as an IQA in order to showcase your capabilities to other members. This data is controlled by you and may be amended or deleted at any time. My addresses – your correspondence address and contact telephone numbers (should you wish to provide them). To be fully clear, optional, additional, information that you provide is solely at your discretion and for the purpose of communicating your skills and experience to other members. Member information is retained for the duration of your membership and will be deleted when your membership lapses or is not renewed. Before deletion Membership Services will contact you to confirm that you actively wish to leave the organisation, or after six months, by default. Information that we ask non-members to provide when they set up an account on our web site; For clarity this is when someone clicks on the link Create Account on the IQA-UK UK website. The information we collect is as follows: •Full name •Email address •Home address •Company name/ Position (optional) •Telephone number •Years experience and/or qualification in IQA where applicable This information is collected to enable us to properly identify you, as a non-member, for the purposes of booking events. This information will be retained for twelve months from the date of last access, after which it will be deleted. The information is stored automatically for the duration of your annual membership until cancelled by you or terminated (under Terms & Conditions) if this situation should ever arise. Log information We do not collect any information about how you (members or non-members) use our services, nor do we collect any information about any devices that are used to access our web site. Cookies and similar technologies When you access our services we will use a cookie to enable our website to collect and store information to facilitate better future interactions with our site. These cookies are stored on your local device only. We do not have access to this information and it is not used for any other purpose. Further ways we might use information we collect Occasionally you may need to contact our Membership Services team to discuss renewals, to address membership queries or other matters that are of concern to you. Our Membership Services team may access your membership details in order to assist you in your enquiry. The Membership Services team is able to see all information that has been entered on your members profile. Bona-fide IQA-UK Membership Co-ordinators only will have access to member details. This is for the purpose of identifying members in their allocated region to facilitate planning and communication (subject to your consent) of Continuous Professional Development events. Volunteer Membership Co-ordinators will not have access to this data unless your express permission is granted upon request to enable them to contact you for the same reasons above. From time to time, we may also need to verify the membership status of individual or organisational members. This enables us to ensure that only active members of IQA-UK UK may publicly claim membership (on their web site or other materials), access member only resources and enjoy the benefit of using the IQA-UK logo as set out in the membership benefits part of our web site. We will ask for your consent before using information for a purpose other than those set out in this Privacy Policy. IQA-UK UK only holds its member personal information on servers in the UK. OPT-IN SERVICES We may offer the option for members to ‘opt in’ to general UK communications about conferences, events (national and regional) and/or professional development activity. Information you share Our services let you share information with other members. Remember that when you share information publicly on a web site, it may be indexable by search engines, such as Google. Please be aware that any personal information, including profile photographs, you share on your personal profile may be accessible in this way. IQA-UK UK only provided to facilitate networking between our members, at their choice. Accessing and updating your personal information Whenever you use our services, we aim to provide you with access to your personal information. If that information is wrong, we strive to give you ways to update it quickly or to delete it unless we have to keep that information for legitimate business or legal purposes. The exception is optional information that you as a member have chosen to provide yourself, and which is fully under your own control. We aim to maintain our services in a manner that protects information from accidental or malicious destruction. Because of this, after you delete information from our services, we may not immediately delete residual copies from our active servers and may not remove information from our backup systems. Information we share We do not share personal information outside of IQA-UK, with the following exception: With IQA-UK administrators – They are able to access your web account in order to undertake the following: • Change your account password • Suspend or terminate your account access • Access or retain information stored as part of your account • Receive your account information in order to satisfy applicable law, regulation, legal process or enforceable governmental request This is purely for the purposes of managing member accounts and complying with applicable laws and regulations where this is necessary. For legal reasons We will share personal information with companies, organisations or individuals outside IQA-UK if we have a belief in good faith that access, use, preservation or disclosure of the information is reasonably necessary to: • Meet any applicable law, regulation, legal process or enforceable governmental request. • Detect, prevent or otherwise address fraud, security or technical issues. • Protect against harm to the rights, property or safety of IQA-UK, our users or the public, as required or permitted by law. Information security We work hard to protect IQA-UK and our members from unauthorised access to, or unauthorised alteration, disclosure or destruction of information that we hold. In particular: We review our information collection, storage and processing practices, including physical security measures, to guard against unauthorised access to systems. We restrict access to personal information (other than that which members have knowingly supplied for their public profiles) to IQA-UK employees, contractors and agents who need to know that information in order to process it for us and who are subject to strict contractual confidentiality obligations. They may be disciplined or their contract terminated if they fail to meet these obligations. When this Privacy Policy applies Our Privacy Policy applies to all of the services offered by IQA-UK. Social Media Over time there may arise a small number of IQA-UK associated independent Groups on a number or Social Media platforms, such as LinkedIn. These are not provided or operated by IQA-UK, nor do we have any access to, or control of, the personal information of people who have joined these groups. The only social media for IQA-UK will be formally recognised as that which bears the “official” title and logo. If you experience any difficulties or concerns over privacy on sub-groups which individuals may run, please contact the social media platform provider to discuss or disengage. Compliance and cooperation with regulatory authorities We regularly review our compliance with our Privacy Policy and as a UK based organisation are subject to regulation by the Information Commissioners Office (ICO). If we were to receive formal written complaints related to any member data that we hold, we will contact the person who made the complaint to follow up. We would also engage and work with the ICO if this was deemed necessary. Changes Our Privacy Policy may change from time to time. We will not reduce your rights under this Privacy Policy without your explicit consent. We will post any Privacy Policy changes on this page and, if the changes are significant, we will provide a more prominent notice (including email notification of Privacy Policy changes).
